BambooHR vs Rippling: Pricing, Features and Buyer Fit

BambooHR vs Rippling: Pricing, Features and Buyer Fit, featured image

BambooHR vs Rippling comes down to the job you're hiring your HR system to do. BambooHR is the more focused choice when the main problems are employee records, hiring, onboarding, time off, and manager-facing people processes. Rippling is the stronger candidate when every hire or departure also needs coordinated payroll, software access, devices, and potentially international workforce operations.

Neither vendor's entry price really tells you the full cost of running HR and payroll. BambooHR publishes Core, Pro, and Elite plan prices but charges separately for several operational add-ons. Rippling advertises a starting platform price and sells additional products through a custom quote. Compare the exact workflows and ownership boundaries before comparing a headline per-employee rate.

Choose BambooHR for an HR-first operation
  • Your HR team wants employee records, hiring, time off and onboarding without buying an IT platform.
  • You value a visible Core/Pro/Elite feature ladder and can quote payroll separately.
  • Managers need performance reviews and recognition, and you can identify the plan that includes them.
Choose Rippling for connected workforce operations
  • HR and IT must coordinate access and device changes from the same employee record.
  • You need to evaluate global payroll or employer-of-record services alongside domestic HR.
  • You can assign administrators to configure and maintain a modular, cross-functional system.

The comparison isn't simply which vendor has more features. An HR director with a small IT team may prefer to keep the HRIS narrow. A People Ops lead responsible for joining and leaving workflows across departments may find that an integrated identity and device layer removes handoffs that otherwise require tickets and manual checks. Both decisions can be rational.

Our recommendation: Shortlist BambooHR when HR owns the purchase and has a stable US-centered workflow. Shortlist Rippling when IT and payroll are committed stakeholders from the beginning. Don't choose Rippling for device automation you don't plan to deploy, and don't assume BambooHR's published HR tier covers payroll or time clocks.

Pricing: compare the actual bill, not the starting rate

BambooHR pricing and the published-page discrepancy

BambooHR's US pricing page shows Core at $10, Pro at $17, and Elite at $25 per employee per month in its plan tiles. The FAQ on that same page instead says Core starts at $10.25 and Pro at $17.50, with Elite still at $25. This is an inconsistency on the vendor's own page, and only BambooHR can tell you which figure applies. Request a written rate that identifies the plan, headcount, billing term, and any volume discount.

For companies with 25 employees or fewer, BambooHR's FAQ states flat monthly prices of $250 for Core, $425 for Pro, and $650 for Elite. Above that threshold, pricing is per employee and volume discounts may apply. The vendor does offer flexible month-to-month or extended terms, according to the current FAQ. Payroll, Benefits Administration, and Time & Attendance are listed as add-ons rather than included in the Core price.

BambooHR also advertises a 15% bundle discount when Payroll and Benefits Administration are purchased with a plan for US-based employees. That doesn't tell you the undiscounted add-on rates. Ask the sales team to show the eligible line items, discount base, and resulting net subscription in writing.

Rippling pricing and its modular structure

Rippling's small-business page advertises a starting platform price of $8 per user per month plus a $40 monthly base fee. Its general pricing page says plans start at $8 per employee per month with a monthly base fee, and that a custom quote based on your selected products and headcount determines the actual configuration. In other words, the platform rate isn't a complete HR, payroll, or IT subscription.

A Rippling-authored payroll review lists US Payroll at $8 per employee per month when billed annually, or $10 when billed monthly, on top of its core HRIS. These are published starting figures, not a promise that every quote will contain the same rate or billing arrangement. Benefits administration, time tracking, device management, and other selected products can change the total.

What a like-for-like cost example can and cannot show

For a 25-person team, BambooHR's published flat Core price is $250 per month, before add-ons. Rippling's advertised platform-only arithmetic is $40 + (25 x $8) = $240 per month, before payroll and other products. If you add Rippling's separately published annual-billing US Payroll starting rate, the illustrative amount becomes $440 per month. That last figure still isn't a full quote and doesn't include every service you might need.

For 50 employees, BambooHR's Core plan tile would imply $500 per month at $10 per person, while its FAQ starting figure would imply $512.50 at $10.25. The vendor's volume-discount policy and the contradictory display make both illustrative, not payable amounts. Rippling's advertised platform-only formula would be $440 per month at the published starting rate. Add annual-billing US Payroll at the published starting rate and the arithmetic reaches $840 per month. Don't present these as equivalent bundles, because the $500 figure is BambooHR Core alone while the $840 figure includes Rippling payroll.

Budgeting rule: Normalize both proposals to the same active headcount, workforce geography, payroll coverage, included support, and renewal period. Add the costs of tools you'll actually retire. A lower HRIS line item can still be a more expensive operating model if it leaves several manual handoffs in place.

HR records, hiring, and manager workflows

Where BambooHR has a clearer HR-specific ladder

BambooHR's Core plan includes employee records, reporting, hiring and onboarding capabilities, time-off management, and employee-experience tools. Its published comparison also shows applicant tracking, offer-letter templates, new-hire packets, onboarding checklists, and e-signatures. That's a practical fit for an HR team moving away from spreadsheets and scattered employee folders.

Pro adds performance management, 360-degree review cycles, one-on-ones, Employee Community, and Recognition & Rewards. Elite adds compensation planning, salary benchmarking, custom dashboards, and HR benchmarks. These distinctions matter when a buyer says they need performance reviews but is looking only at the Core price. Ask the account team to demonstrate your exact review cycle in the quoted tier.

The product's strength for People Ops is the direct ownership model: HR can define the onboarding checklist, hiring-manager tasks, and employee record. The limitation isn't that BambooHR can't connect to other systems. It's that the vendor's pricing page doesn't describe a native IT device and identity management suite comparable to Rippling IT. You'll need to confirm integrations and separate IT ownership rather than assuming HR workflows automatically provision accounts.

Where Rippling extends the employee record

Rippling's HR product describes a shared employee data model with onboarding, offboarding, reporting, recruiting, performance, and learning products. Its IT suite includes identity and access management, device management, and inventory management. The small-business page describes automatically shipping laptops or controlling app access based on roles. These are relevant capabilities when onboarding means more than collecting HR forms.

Rippling also sells finance products such as expenses, procurement, and bill pay. Those are separate procurement decisions, not automatic inclusions in an HR quote, and they'll show up as separate lines. A buyer who wants only time-off tracking may not gain enough from this breadth to justify the implementation and administration work. A buyer whose IT team handles frequent role changes should ask for a demo that starts with an employee record change and ends with the resulting access change.

Payroll, benefits, and international hiring

BambooHR lists Payroll and Benefits Administration as US-employee-only add-ons on its pricing page. Payroll includes direct deposit and federal and state tax filing. The time-and-attendance add-on supports scheduling, timesheets, approvals, and overtime calculations. If you need only US payroll and already have an identity stack, this can be a coherent division of labor, and it won't force an IT project.

BambooHR's Global Employment offering is explicitly powered by Remote. That's an available path for hiring abroad, but it isn't the same as claiming BambooHR's US Payroll add-on runs payroll natively in every country. Verify the actual employer-of-record relationship, data handoffs, service agreement, and country coverage for the employees you're planning to hire.

Rippling offers Global HRIS, Global Payroll, Global Contractors, and employer-of-record products. Its Global HRIS page describes localized employee fields and documents by work location. This makes it a relevant finalist for a distributed workforce, but you'll still want a country-by-country quote. Global payroll for an entity you own and EOR employment through a provider solve different legal and operational problems.

A useful demo test is a worker who changes country, legal entity, or employment type. Ask each vendor to show which records change automatically, which require an administrator, and which flow to a partner. You'll want those answers in writing. Don't treat a marketing claim about worldwide coverage as evidence that your specific entity and pay cycle are supported.

Onboarding and offboarding: who actually owns each step?

The most important operational distinction doesn't show up in a feature list. It shows up when a new hire is accepted or an employee leaves. BambooHR can organize HR onboarding documents and checklists. Rippling can connect HR events to its own app and device administration products when those modules are purchased and configured. Neither approach removes the need to decide who approves sensitive access, who confirms payroll changes, or who checks that the person is ready to start.

  1. HRConfirm employee record, start date, signed documents and onboarding checklist Before day one
  2. Hiring managerApprove role, equipment needs and required applications Before access requests
  3. ITApprove accounts, device allocation and access policies; record completion evidence Before first login
  4. Payroll and FinanceConfirm pay group, deductions, expense permissions and first pay cycle Before payroll cutoff
  5. People OpsReconcile incomplete handoffs and escalate missing owner confirmations At readiness review

The map above is a proposal, not a claim that every listed step is automated out of the box. HR should own the employment facts. The hiring manager should approve role-specific access. IT should confirm accounts and devices. Payroll should verify the first payment. People Ops should see unresolved handoffs without asking everyone to update a separate spreadsheet.

For offboarding, use the same structure in reverse. Verify the effective termination date, final pay owner, device return, application access removal, and evidence of completion. Ask Rippling to demonstrate deprovisioning for an app outside its native catalog and BambooHR to demonstrate how an external IT workflow receives a status change. An integration badge alone doesn't prove the failure path is handled.

Implementation: run the same test in both demos

A product comparison is easier to defend when both sales teams run the same scenario. Give them a fictional employee with a manager, department, location, start date, and standard access package. Don't share real employee data in a sales sandbox unless your organization has approved that transfer.

  1. Hire: Create the employee and assign an onboarding owner. Check how offer documents, approvals, and task due dates appear.
  2. Change role: Move the employee to a new manager and department. Watch what updates automatically and what waits for approval.
  3. Miss a deadline: Leave an equipment or payroll task incomplete. See who is alerted and whether a blocker remains visible.
  4. Leave: Set a termination date and check which accounts, devices, and payroll actions are actually completed versus merely requested.
  5. Export evidence: Ask for a record showing who approved the task, who completed it, and when. Make sure your team can retrieve it later, because you'll need it at renewal.

Use a scorecard with four columns: capability demonstrated, manual steps required, accountable owner, and proof retained. Don't accept a narrated future-state diagram as a passed demo. If an action requires an additional paid module, put that module into the quote immediately.

BambooHR's tradeoff is specialization. It's clearly easier to scope a purchase around HR jobs when the vendor exposes the feature ladder. Still, you need a clear integration plan if HR data must trigger actions in a separate IT stack. Ask who will own failed handoffs and whether your payroll and benefits requirements are included in the proposal.

Rippling's tradeoff is breadth. A shared data model can definitely reduce re-entry across teams, but the buyer must define access policies, integration boundaries, and the list of paid modules. Ask the sales team to separate what the platform does natively from what a third-party connector does and what still needs an approval.

Where onboarding coordination sits outside the HRIS decision

An HRIS stores employee information and supports HR processes. It doesn't necessarily give every department a single, evidence-backed view of whether a hire's actually ready for the first day. A separate coordination layer can help when approvals and completion signals live in several systems.

Final decision: buy the workflow you can prove

Choose BambooHR when your highest-value outcome is an HR-owned source of employee records, onboarding, time off, and manager processes. Choose Rippling when your highest-value outcome is joining HR events to payroll, identity, devices, and potentially global operations. Neither is a universal winner, and you shouldn't buy from a starting-rate screenshot.

Request itemized quotes, and you'll want to run the same hire-change-leave demo in both products. It's the quickest way to see where each handoff really lives. Record which tasks complete automatically, which require approval, and who owns the failures. That evidence will be far more useful at renewal time than a generic feature checklist.

Frequently asked questions

Is BambooHR cheaper than Rippling?

Cost depends on scope. BambooHR publishes HR tier prices and separate add-ons. Rippling publishes a starting platform rate but quotes its module bundle. Compare written quotes for the same employees, payroll scope, implementation and IT tools.

Does BambooHR include payroll in Core?

No. BambooHR lists Payroll as a separate add-on for US employees. Ask for a combined Core and Payroll quote rather than treating the Core tile as the total.

Does Rippling include payroll in its $8 starting rate?

No. The advertised platform starting price is separate from Payroll. Rippling's payroll review publishes additional starting rates for US Payroll, subject to billing terms and your quote.

Can BambooHR handle international employees?

BambooHR lists Global Employment powered by Remote as an add-on. Its own Payroll add-on is labeled for US employees only. Verify the country, employer and payroll arrangement in your proposal.

Which is better for IT onboarding and offboarding?

Rippling is the more direct fit when you've purchased and configured its identity and device products. BambooHR can remain the HR record while a separate IT system handles access, but you'll need to verify the handoff and evidence flow.

What should I ask in both demos?

Use the same fictional hire, role change and departure. Ask to see owner approvals, incomplete tasks, payroll cutoffs, app access changes, and an export of completion evidence.
