Gusto is the more direct choice when an owner or finance lead needs to run US payroll and handle employee tax paperwork without buying a separate HR system first.

Neither product removes the need to assign a real person to equipment, access approvals and manager readiness, and that's true whichever you pick. A new hire can finish a tax form while their laptop is still in a shipping box. That's a process gap, not a payroll feature gap.

Our verdict: Choose BambooHR for an HR-led people operations function with a growing hiring pipeline. Choose Gusto for payroll-led operations that also need hiring and onboarding basics. BambooHR publishes HR plan rates, but payroll is an add-on with no public price in the plan grid. A headline comparison of their entry prices isn't an apples-to-apples payroll comparison.

BambooHR Core, Pro and Elite

BambooHR's main pricing cards show Core at $10 per employee per month, Pro at $17 and Elite at $25. Its own FAQ shows a different starting figure for Core and Pro: $10.25 and $17.50 per employee per month for organizations with more than 25 employees. The two sections don't match, so use the FAQ figures for conservative illustrations and ask the sales team which rate applies to your order form.

For companies with 25 employees or fewer, the FAQ lists flat monthly HR subscription prices of $250 for Core, $425 for Pro and $650 for Elite. It also says automatic volume discounts apply at larger headcounts. BambooHR sells Payroll, Benefits Administration and Time & Attendance as add-on solutions; it doesn't publish a payroll add-on amount in this pricing table.

Core already covers employee records, custom reporting, hiring and onboarding. Pro adds performance management, while Elite adds compensation planning and more advanced analytics. Buying the highest tier to solve a payroll problem alone won't help, because the HR subscription and the payroll module are priced separately.

Gusto Simple, Plus and Premium

Gusto's US pricing page lists Simple at $49 per month plus $6 per person, Plus at $80 plus $12 per person and Premium at $180 plus $22 per person. Simple includes payroll and tax filings; Plus adds multi-state payroll and time tracking; Premium includes additional HR guidance, support and faster-pay options.

The upgrade trigger for People Ops often isn't payroll volume. Gusto's help center says customizable onboarding tasks are available on Plus and Premium. Its recruiting help center likewise places Gusto Recruiting on Plus and Premium. If the hiring manager needs an assignable task or a real candidate workflow, compare the Plus price, not only Simple's entry price.

Cost examples for small and growing teams

The table uses published list prices before discounts, add-ons, benefits premiums, implementation or tax-specific charges. BambooHR's figures cover the HR subscription only. Gusto's figures include the plan's payroll functionality, but not optional add-ons.

Plan

10 employees

50 employees

BambooHR Core (HR subscription)

$250.00

$512.50

BambooHR Pro (HR subscription)

$425.00

$875.00

Gusto Simple (with payroll)

$109.00

$349.00

Gusto Plus (with payroll)

$200.00

$680.00

Illustrations calculated from the vendors' US pages, checked October 24, 2026. BambooHR uses its FAQ rates and excludes automatic volume discounts. The plans don't match feature for feature.

At a small headcount, BambooHR's flat minimum matters more than its headline per-person price. At a larger headcount, a separate payroll quote could change the buying decision completely. Treat any BambooHR payroll fee as unknown until the vendor quotes it.

A real pricing discrepancy on BambooHR's own page The pricing cards say $10 for Core and $17 for Pro, while the FAQ says $10.25 and $17.50 for organizations above 25 employees. Request the exact unit rate, minimum, payroll add-on fee and any discount in writing.

Payroll and tax filing: Gusto is the simpler starting point

Gusto's Simple plan explicitly includes unlimited payroll runs and tax filings and payments. For a payroll owner, that's the most important difference: payroll is part of the plan you're buying, instead of a separately quoted module. Plus adds multi-state payroll and next-day pay features. The exact pay timing and eligibility still depend on the selected plan and the employer's setup.

BambooHR offers US Payroll as an add-on, listing direct deposit, flexible pay schedules and federal and state tax filing. Its pricing FAQ says you'll work with a dedicated payroll project manager during setup. That's a credible option for an HR team that wants payroll attached to the employee record, but you'll need a quote for the cost and implementation scope.

Use this payroll handoff test. Have HR update an employee's department, manager, address and pay rate in a sample environment. Ask the payroll owner to show exactly when each change reaches the pay calculation, who approves it and how a late correction is handled. The cleanest demo isn't the one with the fewest clicks. It's the one that makes an incorrect paycheck hardest to approve.

A payroll product won't automatically validate your internal policy for who may approve compensation changes. Put a human approver and a cut-off time on the process, then test how each vendor records the approval evidence.

Hiring and applicant tracking: BambooHR starts earlier in the process

BambooHR's Core plan includes an applicant tracking system, candidate records, job posting and offer-letter templates. Its plan comparison also lists New Hire Packets, onboarding checklists and e-signatures. An HR team can treat the hiring pipeline and the employee record as one connected workflow rather than transferring a candidate from a separate spreadsheet after acceptance.

Gusto has an applicant tracking system too. Its help center says Gusto Recruiting is included on Plus and Premium and can create job boards, manage applicants and import new team members into payroll. Hiring team members can review candidates, leave comments and complete interview scorecards. That may well be enough for an owner hiring periodically, although a high-volume recruiter should test reporting, approvals and candidate permissions against the actual hiring process.

Gusto does have an applicant tracking system. Its current Recruiting documentation describes a real applicant workflow, so it's definitely not a payroll-only tool. The practical difference is the plan gate and whether hiring or payroll is the system's center of gravity.

A useful hiring demo follows a candidate from application to accepted offer to active employee. Watch for repeated data entry, missing approval history and who's allowed to see interview feedback. Ask both vendors to show the permission boundary between the hiring team and payroll administrators.

Onboarding: who owns the work outside HR and payroll?

BambooHR's onboarding product describes customizable task lists, reminders, New Hire Packets and a progress dashboard. Its task-import release notes explain that HR can import saved task lists and filter tasks for an individual employee. This is helpful when a manager, HR administrator and IT coordinator each need to finish different work before a start date.

Gusto's onboarding checklist is more capable than a payroll-only checklist. Its help article includes work-email setup, software accounts, an onboarding buddy and new-hire check-ins among suggested tasks. Plus and Premium customers can customize tasks, assign them to eligible administrators or employees and set due-date categories. Gusto also says that completed tasks don't generate a completion email, so an owner who needs a final sign-off should plan an explicit review.

The difference is less about whether a checklist exists and more about what the checklist proves. A checked box that says "create account" isn't proof that the employee can sign in. An equipment task marked complete isn't evidence that a laptop reached the correct address.

HRConfirm accepted offer, employee record and required documents Before start

Hiring managerConfirm role, start schedule and initial work assignment Before start

ITProvision approved access and confirm successful login Before start

Payroll or financeVerify pay setup, employee classification and payroll cutoff Before first payroll

HR and managerReview open tasks and record exceptions with owners First day

Use a two-column acceptance rule for every task: one column says who must do the work, while the other says what evidence proves it happened. The owner of the employee record isn't necessarily the owner of the laptop, the payroll setup or the access approval.

A practical example: A new sales hire signs their documents in Gusto and gets an active payroll record. IT still needs to provision the CRM account, the manager needs to approve access and HR needs to confirm the start date. BambooHR may coordinate more of the people workflow, but neither vendor should be assumed to validate access in a separate application without a demonstrated integration and permission model.

For a reusable starting sequence, see our employee onboarding checklist and new hire onboarding template.

Performance reviews and employee experience

BambooHR Pro includes performance management with review cycles, manager check-ins and reporting. Elite adds compensation planning and deeper analytics. That makes BambooHR a natural candidate when HR needs a consistent review calendar and a durable employee record rather than a collection of manager documents.

Gusto isn't limited to payroll and PTO. Its current performance-review help article says Plus and Premium include performance reviews for US employees, with manager reviews, self-evaluations, reminders, goal tracking and feedback.

The evaluation question is whether reviews become decisions. Ask whoever's running HR to show a review being created, assigned, completed, acknowledged and retrieved later. Then ask how compensation changes are approved and transferred to payroll. BambooHR's Elite compensation planning and Gusto's performance features address different parts of that chain, so compare the whole workflow instead of one screenshot.

Gusto Plus may already be enough if the team's reviews are simple. If HR wants structured performance cycles across departments with compensation planning, BambooHR deserves a closer look. The fit depends on permissions, reporting and the evidence your managers actually need.

Benefits, time tracking and administration

Gusto's pricing page lists health insurance brokerage with no Gusto administration fee beyond premiums for supported plans. It also offers a paid integration for employers retaining a different broker. Benefits choices still depend on state, carrier and eligibility, so don't interpret a software fee as the total cost of insurance.

BambooHR lists Benefits Administration and Time & Attendance as separate solutions. The former includes enrollment and election workflows; the latter includes shift scheduling, project tracking and approval workflows. These can suit an HR team that wants the employee record at the center, but the final invoice must include each required module.

Gusto Plus includes time tracking and scheduling, while Simple can add a paid Time & Attendance option. The buyer's question is whether approved hours flow to payroll with a clear owner for exceptions. Don't select a platform just because it offers a time clock. Test missed punches, retroactive edits, manager approvals and the payroll cut-off.

Can you use BambooHR and Gusto together?

Using an HRIS and a separate payroll platform can be reasonable, but never assume a native BambooHR-to-Gusto sync exists or covers every field. Confirm the integration's current availability directly with both vendors and request a field-level data-flow map before signing. A third-party connector might add its own fee, access rights and failure modes that you'll have to own.

If the company keeps both, designate one authoritative record for each field. HR might own job title, manager and start date, while payroll owns tax elections, pay history and payroll execution. That division works only when there's an approved process for changes that cross the boundary.

Field or event

Suggested system owner

Verification before payroll

Hire and start date

HR

Payroll confirms imported or re-entered date

Manager and department

HR

HR validates destination fields

Pay rate and effective date

HR plus authorized approver

Payroll reviews approval and effective date

Tax withholding and direct deposit

Payroll

Employee completes required forms in payroll system

Termination

HR plus payroll

Final pay and access-revocation owners confirm actions

The table above is an operating model to adapt, not a claim that either vendor ships those exact integrations. If you can't demonstrate the sync, price in manual reconciliation. That's far better than discovering a silent mapping error after a payroll run.

How to run a buying pilot without a misleading demo

A vendor demo usually shows a clean record and a cooperative employee. Your real workflow includes missing paperwork, late changes, absent managers and accounts that don't provision on time. Test those exceptions before you compare contract terms, because they're where products really differ.

Map the current handoff

Write down where a candidate becomes an employee, where payroll begins and who confirms access readiness.

Price the same operating scope

Request HR, payroll, time, benefits and support as separate line items. Core can be a practical starting tier for the record and hiring workflow, while Pro makes more sense when performance management is a core requirement. Payroll can be added, but the quote must be evaluated separately.

Choose Gusto when payroll is the operating center. A small business wants a predictable published plan, employee self-service and payroll tax handling without a separate payroll add-on. Simple covers the basic pay run; Plus is a more appropriate comparison when recruiting, custom onboarding or performance reviews matter. Premium deserves consideration when the added support and advanced services solve a real operating need.

Don't choose either one solely on a feature checklist. A team with complex cross-department onboarding may need a dedicated coordination layer in addition to its HRIS or payroll system. Start with a written ownership map and require evidence for every handoff. An unowned task certainly won't become owned because it appears in a prettier dashboard.

Payroll and tax filing with basic employee setupStart with Gusto Simple

Payroll plus Recruiting and custom onboarding tasksEvaluate Gusto Plus

Employee records, ATS and HR-led onboardingEvaluate BambooHR Core

HR-led performance review cyclesEvaluate BambooHR Pro

HR compensation planning and deeper analyticsEvaluate BambooHR Elite

HRIS and payroll across separate systemsPilot data ownership and reconciliation before committing

BambooHR vs Gusto FAQ

Is BambooHR or Gusto better for a small business?

Gusto is usually the simpler starting point when payroll is the main job. BambooHR makes more sense when a dedicated HR owner needs employee records, applicant tracking and structured onboarding. Compare the features and actual quote for your team.

Does BambooHR include payroll in Core?

No. BambooHR lists US Payroll as a separate add-on solution. Ask both vendors for the current integration path and test employee changes before relying on it.

Final recommendation

BambooHR is a stronger fit for an HR team that needs to own the employee lifecycle. Gusto is a stronger fit for a payroll owner who wants hiring and HR capabilities connected to the pay run. Both can handle parts of onboarding, but neither should be treated as a guarantee that IT, finance and the hiring manager completed their responsibilities.

Before signing, run the same hiring, pay-change and onboarding exception through both products. The winner clearly isn't the one with the most features. It's the one your team can operate with clear ownership, fewer manual reconciliations and evidence that a critical handoff really happened.

PricingBambooHR Pricing

PricingGusto Pricing

GuideEmployee Onboarding Checklist

ComparisonBambooHR vs Rippling

BambooHR vs Gusto compared for US HR teams: current plan prices, payroll, recruiting, onboarding tasks, performance reviews and real cost examples.

[5

post-163","post","type-post","status-publish","format-standard","has-post-thumbnail","hentry","category-comparisons
["GET
